1. Scope & Applicability
- Who: Pre‑approved LinkMiles employees only
- What: Rider onboarding, KYC approvals, vehicle assignments, maintenance tracking, and related workflows
2. Information We Collect
2.1 Employee Identity & Access
- Credentials & Profile: Mobile number (login ID), employee ID, name, email, role/department
- Authentication Data: OTPs, device tokens, login timestamps
2.2 Operational Data
- Rider Onboarding & KYC: Rider personal details, ID documents, verification status
- Vehicle Assignment & Maintenance: Vehicle IDs, assignment/return dates, maintenance records
2.3 Usage & Device Data
- Device & App Metrics: Device IDs, OS & app version, crash logs
- Activity Logs: Screens accessed, actions taken, timestamps
3. How We Use Your Information
- Authentication & Access Control: Validate credentials and authorize access
- Operational Workflows: Enable and record onboarding, KYC, assignments, maintenance
- Audit & Compliance: Maintain logs for audits and regulatory requirements
- Support & Notifications: Send system alerts, app updates, policy changes
- Analytics & Optimization: Analyze usage to improve performance and workflows
4. Legal Basis for Processing
- Contractual Necessity: To perform your duties under employment agreement
- Legal Obligations: Compliance with labor, tax, and regulatory requirements
- Legitimate Interests: Secure the App, prevent unauthorized access, optimize processes
5. Information Sharing & Disclosure
- Within LinkMiles: HR, Finance, Legal, Compliance teams as needed
- Service Providers: Cloud hosting, authentication services under NDA
- Regulators & Law Enforcement: When required by law or legal process
- Business Transfers: Mergers or acquisitions, subject to confidentiality obligations
6. Data Retention
We retain operational and audit data for as long as necessary to fulfill legal and business requirements. Standard retention for logs and KYC records is seven years, unless otherwise mandated.
7. Security Measures
- Encryption in transit (TLS) and at rest
- Role-based access controls and permissions
- Secure coding practices, vulnerability assessments, logging
- Incident response procedures for data incidents
8. Your Rights & Responsibilities
- Access & Correction: Update profile via HR or your manager
- Data Deletion: Offboarding procedures remove or archive account data
- Security Obligations: Safeguard credentials and report incidents immediately
9. International Transfers
Data may be stored or processed in the U.S. or other jurisdictions. By using the App, you consent to these transfers.
10. Changes to This Policy
We’ll notify you via email and in-App alerts of any updates, and revise the “Last updated” date. Continued use signifies acceptance.
